This Week in Imaging: How AI is Making Big Improvements in Office Document Workflows

Artificial intelligence is one of the most controversial topics today, but one area where it’s making big improvements is with office document workflows. AI is making these document workflows measurably more efficient by moving processes from manual with human intervention to autonomous and intelligent with minimal human intervention.
Its main strengths are in features such as automatically extracting data, drafting content, and automatically classifying and routing files to the right systems or persons.
Automatic Data Extraction
Instead of relying on rigid, rules-based OCR, AI uses advanced machine learning to read, interpret, and extract data from a wide variety of documents
It can automatically capture information from unstructured or semi-structured formats such as contracts, invoices, and resumes, and populate workflow forms or ERP/CRM systems.
It can also recognize spatial hierarchies, embedded tables, and handwritten text, adapting to new document layouts automatically without requiring manual formatting.
Last, it can automatically identify and remove Personally Identifiable Information (PII) such as Social Security numbers to comply with data privacy regulations.
These tasks would require many hours of human labor to perform.
Conversational AI Assistants and “Chatting with Docs”
With AI-powered document processing, employees no longer need to read through hundreds of pages of dense text to find specific information.
Instead, users can ask an AI assistant specific questions about a document, such as “What are the deliverables and deadlines in this contract?” And AI systems directly link responses back to the exact page or paragraph in the original document, allowing users to instantly verify facts.
Users can also request AI systems to condense long reports into content such as executive summaries, or translate them into multiple languages.
AI-Assisted Drafting and Content Generation
AI shifts the creation process from starting with a blank slate to building upon an AI-generated foundation:
- Semantic Rewriting: Users can highlight specific text and instruct AI to rephrase it, by for instance, simplifying jargon or changing the tone to more casual or formal, to be more persuasive.
- Drafting and Layout: Tools can automatically create initial drafts of project briefs or structure presentations while adjusting layouts visually.
- Citation Management: AI tools automatically retrieve correct citations, flag inconsistencies, and format references.
Workflow Automation and AI Agents
- Autonomous Routing: AI automatically classifies documents as they are ingested, such as tax forms versus invoices, and routes them to the appropriate person or department based on content.
- Self-Operating Execution: AI agents can be given natural language commands to execute tasks, like extracting contract clauses and mapping them into databases, without any human coding required.
- Meeting-to-Document Transformation: AI tools can auto-join meetings, generate transcripts, and synthesize the conversations into documents, such as Product Requirements Documents (PRDs) or project trackers.
Advanced Search and Retrieval
One of the big advantages of AI-powered document management systems is that they can make retrieving files faster and easier with:
- Semantic Search: Users can search using natural language or concepts rather than relying on exact keywords.
- Connected Knowledge: Systems can search across connected data sources, including emails, shared drives, and project management apps.
All of these solutions do mostly one thing – save hours and hours of human labor, and most are generally accurate. According to Unicode, artificial intelligence achieves between 95 and 99 percent accuracy when processing well-structured digital office documents such as digital invoices, tax forms, and purchase orders. This performance notably outperforms manual human data labor, which typically carries an inherent error rate of 3 to 5 percent. Accuracy does however fluctuate depending on the document format, the quality of the file, and the specific task required – but so does human labor.
