Square 9 Software Launches New Program for Safer Return to Work

On July 23rd, enterprise content management (ECM) provider Square 9 Softworks introduced Return to Work Essentials, a cloud-hosted solution that’s designed to help organizations reopen safely in the wake of the COVID-19 pandemic.

Developed as a touchless solution to screen employees, customers, and/or visitors before they enter the workplace, Return to Work Essentials is designed to help limit the spread of the COVID-19 infection. Square 9 says that through a few simple steps, anyone entering a workplace will be screened to ensure they are not infected with COVID-19.

Square 9 says Return to Work Essentials goes beyond a simple temperature reading by requiring health-screening information from visitors, protecting the business with a liability waiver, and securely collecting and reporting on transmission tracing data in a HIPAA-compliant cloud-based repository.

Return to Work Essentials also features an optional waiver of liability. The waiver can be signed at the same time as the health-screening process to offer enterprises protection against potential legal claims (see “Our Take” for more on legal liabilities).

Here’s how the Return to Work process works:

Step One: Visitors are greeted by a QR code in a printed or digital display.

Step Two: Upon scanning the QR code with their mobile device, a form will open to collect personal information such as the person’s name and company.

Step Three: The visitor will answer a few required health-related questions such as instances of quarantine, if they’ve traveled outside of the United States, have experienced a fever, etc.

Step Four: An optional waiver of liability is available for signing to protect the enterprise against legal claims. Once the person completes the form, either a green screen indicating approved entry, or a red screen indicating entry denied, will appear.

Step Five: Before being admitted, approved visitors are required to present their Access Approval to a receptionist who then scans the embedded QR code with a phone or tablet. Then the person’s temperature is taken and logged for final approval to enter the building or office.

Our Take

We should note that in the United States at least, the legality of employees and/or company visitors suing employers for exposure to COVID-19 has not been decided. The U.S. Senate is currently working to pass legislation that would make it harder for employees to file such lawsuits. Currently, some employees have already filed such lawsuits. Forbes reported recently, for instance, that some U.S. Military, DHS, and ICE employees have sued the federal government for exposure to COVID-19 during the course of their duties.

In the meantime, employers should of course take all steps necessary to shield employees and visitors from the virus.
